Roles in applications and projects (new application system)
When you write an application in our new application system or carry out a project with follow-up in the new system, the roles of participants in the project are important. We distinguish between organisations and persons, and below you will find the role descriptions for project participants.

By roles, we mean what tasks and responsibilities different persons are assigned in the application and later in the project, if the application is funded. Depending on what is stated in the call, the application and the project may include different roles. All persons who have been added with a role in an application or a project will have access when they log in to My page. You can control who can make changes and who should only have access to reading the application and project information through different roles.
When you add a new person with a role in an application or in a project, it is important that the email address and phone number you provide for the role are the same as the one the person uses to log in to My page. The system sends invitations based on the information you enter, and it only works if the system finds the same combination of phone number and email address for a user. Once the person has accepted the invitation, the project will be linked to the person's user account, and they may change their login information without losing access to the application or the project.
You can edit your email address or phone number by:
- either edit the contact information on the role in the application, or
- edit your login information under My profile on My page.
The user accounts on My page are personal, and we require verification by email and SMS to create a user and to log in. The person logging in must have access to both the email account and the
Mandatory roles
All persons who are assigned mandatory roles in an application must confirm the role on My page before the application can be submitted. Organisation representatives are always mandatory, and in most calls for proposals, the project manager will also be mandatory.
Organisation representatives
The Project Owner must have an organisation representative who can confirm the application on behalf of the Project Owner. The organisation representative must have a position within the organisation that authorises him or her to represent and commit the organisation vis-à-vis the Research Council. If the application is funded, the organisation representative must confirm any company information, and that a collaboration agreement has been entered into if the project includes collaborating partners.
In projects with collaborating partners, the collaborating partners must also have an organisation representative. The organisation representative for each collaborating partner must have a position in the organisation and be authorised to confirm that the organisation will participate as a collaborating partner. If the application is funded, the organisation representative for the collaborating partner must confirm any company information, and that they have entered into a collaboration agreement with the Project Owner.
Creator of application
Creating an application only grants the person access to the application and will not automatically ensure access to the project if the application is funded. The creator of the application can add other persons and give them access to the application so that they can work on it.
Project manager
The project manager is the person who is responsible for the scientific content of the application and for its implementation in the project if the application is funded. The call may include requirements for who can be the project manager and requirements for the project manager's competence. The project manager's competence and experience must be described in the application and will be assessed. The project manager must confirm his or her role before the application can be submitted.
Project participants
Project participants are persons who will have key roles in the implementation of the project and contribute to the scientific design of the application. The project participants' competence and experience must be described in the application and will be assessed. You can add as many project participants as you want to the application, but we recommend that you limit the number.
Project administrators
The project administrator has an administrative role in the application and the project and can submit the application. If the application is funded, project administrators will be assigned tasks related to reporting and project follow-up. You can add multiple project administrators.
Reader
You can add one or more users who will only be able to see the application and project information without being able to make any changes.
Fellowships
If you plan to include one or more research fellowships in the project, you must enter how many PhD or postdoctoral positions are planned in the application. You should only enter fellowship positions where at least 50% of the salary will be covered by the project, irrespective of the Research Council's funding of the project's total costs.
If the application is funded, research fellows who are included in the project must be registered under Roles and accesses. The research fellow must then log on to My page to confirm that they will participate in the project. In the annual status report, you must report on how many man-months the registered research fellows have worked on the project during the reporting period.
General manager
The general manager of the Project Owner does not have a role in the application or project. We retrieve this person’s information from the Norwegian Register for Legal Entities and show the person's name on the application or project page. We will only contact the general manager if no other persons in the application or project respond when we try to contact them. If the general manager is to have access to the project on My page, he or she must be entered with one of the roles listed above.
Roles and access to applications and projects
Anyone who is added to the application, except for the creator of the application, will automatically be added to the project with the same role if the application is funded.
The same person can have multiple roles in an application or project, but we strongly recommend that at least two persons employed by the Project Owner have the roles of project manager, project administrator or organisation representative.
