The Research Council's new application form is customised to each individual call. This means that applicants will get different questions depending on the requirements set out in the call. However, much will be the same for all applications.

For previous applicants, the biggest changes are that

  • you can only submit your application once
  • people in roles that are mandatory must confirm that they are taking on the role before you can submit the application
  • you must describe the project in the application form and not in a separate attachment
  • the budget and progress plan in the application are built around work packages

Creating an application

You can create an application from the call as soon as the call has been opened for this. If you are not logged in already, you will be asked to log in to My page. Everyone who has Bank-ID must log in with ID-porten. We retrieve your name and personal identity number/D number from the National Population Register (Folkeregisteret) so that you do not have to fill this in later. Foreign users without a D number must choose a different authentication solution.

First of all, you must answer one or more questions that will give you a quick confirmation of whether you meet the requirements for applying for the call in question. Among other things, we will ask which organisation (name and organisation number) will be the Project Owner for the project. If you meet the requirements, you will be given the opportunity to proceed to the application form.

Navigating the application form

Fill in the fields in the desired order. The system automatically and continuously saves what you fill in. You can log in and continue with the application right up until you actively submit it.

Most of the fields in the application form are mandatory to complete. There are limits on how many characters you can enter in each field.

You cannot submit the application until all the required fields have been filled in correctly. Guidance is given all throughout the form.

Remember that unlike the old application form on My RCN web, applications on My page can only be submitted once.

Who is included in the application

In the first section of the application form, you must tell us which organisations and persons will participate in the application and which will carry out the project if the application is approved.

Partner organisations

If the call allows for or requires you to include other organisations as project partners, you must include these in this section. Project partners can be collaborators, R&D providers or associated partners.

You can only enter the types of partners that are described in the call.

Roles in the project

By roles, we mean which people will have the different roles in the implementation of the project and which other people will have access to the application.

The person who creates an application can add other people and give them access to the application so that more people can work on it. These in turn can give others access. Depending on what is stated in the call, there will be different roles you can add. Some roles will be mandatory to fill. You can control who should have write access and who should only have read access to the application.

Organisation representatives

You must include the organisation representative for the Project Owner and for any partners in the application. You must not add an organisation representative for any R&D suppliers.

The organisation representative must have a position within the organisation that authorises him or her to represent and commit the organisation to the Research Council.

Project manager

In most applications, you must include a person who is academically responsible for the application and, if applicable, also for the implementation of the project if the application is approved. The call may include requirements for who can be the project manager and requirements for the project manager's competence.

Project participants

You can add more people who will have central roles in the implementation of the project. These are people who will participate academically in the project and who will have access to the application and, if applicable, to the project if the application is approved.

You must describe their skills and experience in the application form, and this will be considered in the application processing.

Others who should have access to the application

Enter the project administrator and other people who should have access to, but who are not among those who will carry out the project itself. Project administrators can submit the application. If the application is approved, project administrators will be assigned tasks related to reporting, and they can submit project changes.

Research fellows

If there are to be research fellows in the project, you must enter the number of positions and whether they are PhD or postdoctoral positions.

Verification from people in required roles

You cannot submit the application until all people with mandatory roles have confirmed that they will participate in the project.

The representative of the Project Owner, organisation and any partners in the project will be notified that they must confirm that the organisation is behind the application before the application can be submitted and processed by the Research Council.

Use the correct contact information to ensure access to the application and the project

To add a person to the application, you must enter their name, email address, and phone number. Email addresses and phone numbers must be identical to the person's login information.

If the information you enter is incorrect, the person will not be able to access the application. For example, it may result in a person not being given a confirmation that is mandatory in order to submit the application.

It is possible to change the email and phone number in the application right up until it is submitted, and everyone can change the login information on their own profile at any time, so that they match each other.

Project description

On the old application system (My RCN web), the project description was submitted as an attachment to the application. In the new application system (My page), the project title, objectives, sub-objectives and description must be filled in in the digital form, according to a structure that replaces the chapter division in the previous project description templates.

The classification also reflects the assessment criteria against which the application will be assessed. Each field has a guidance text that helps you to discuss the aspects of the project that are important in the application assessment in the right place. Some fields will have "rich text format". Here you will be able to enter tables, formulas and images, as well as the text can be formatted.

All application forms will look slightly different as they are based on the assessment criteria and requirements in each individual call.

Anyone who is registered with a role in the application can download a current version of the application as a PDF file.

Plan and budget

In the new application system, the application's budget and progress plan are based on aggregated information from the work packages. You must enter the work packages with duration, task category, milestones, estimated cost and which organisation is responsible for the cost if it is a collaborative project.

Submitting an application

The person who created the application, the project manager and any project administrator can submit the application.

Deleting and withdrawing applications

You can delete applications that have been created but not submitted.

Applications that have been submitted can also be withdrawn. This means that we will discontinue the application processing and the status of the application will be deducted from our statistics.

When the application has been submitted

Everyone who had access to the application when it was submitted will see the application and receive information about its processing on My page.

On our website, you will be able to see which applications are being processed at any given time.

The information from the application that will be published includes:

  • project number
  • project title
  • the Project Owner
  • the amount of funding for which funding is sought
